The problem.

Ask most small businesses where their customer information lives and the honest answer is: a spreadsheet, an inbox, a quoting tool, and one person’s memory. When that person is on leave, the business slows down. When they leave for good, some of it is simply gone.

The usual fix makes it worse. A CRM gets signed up for on a Friday, half the team is trained on it, the data import is never finished, and six months later the spreadsheet is still the real source of truth while the CRM quietly bills every month.

The database side fails more quietly. A SQL Server that was installed years ago on default settings, never indexed properly, running reports that time out, with a backup job that has never once been restored to check that it works.

How we deliver.

We start with where the data currently lives and who touches it. That usually surfaces two or three systems nobody mentioned in the first meeting. From there we agree what the single source of truth is going to be, and everything else either feeds it or reads from it.

Migration happens against a copy first, so you can see your own records in the new system before anything is committed. Once you sign off, the cutover is scheduled, the old system stays readable for an agreed period, and the team gets trained on the process rather than on the buttons.

On backups.

A backup that has never been restored is a guess. Every database engagement includes at least one full restore into a test environment, timed and documented, so you know how long recovery takes before the day you need it. If your current backups cannot be restored, we would rather find that out on a Tuesday than during an outage.

Frequently Asked Questions

Which CRM do you recommend?
It depends on how you sell, and we are deliberately not a reseller for any one platform, so there is no commission steering the answer. A trades business booking jobs needs something very different from a consultancy managing long deals. We will shortlist two or three, show you your own data in them, and let you choose.
Can you fix the CRM we already pay for instead of replacing it?
Usually, yes, and it is normally the cheaper path. Most stalled implementations fail on data quality and process fit, not on the software. We would rather finish the migration and redesign the pipeline than sell you a second subscription to abandon.
We are on SQL Server Express. Is that a problem?
Not by itself. Express is perfectly capable for a lot of small business workloads. It does have hard limits on database size, memory and CPU, and it has no SQL Server Agent for scheduled jobs. We will tell you clearly when you have outgrown it and what the licensing actually costs before you commit.
Our reports take minutes to run. Do we need a bigger server?
Almost never. Slow reports are usually missing indexes, queries written against the wrong shape of table, or statistics that have not been updated in years. We profile first. Buying hardware to cover a query problem just makes the same problem more expensive.
Who owns the data and the credentials at the end?
You do, completely. Every engagement finishes with a documented handover: schema, credentials, licence records, backup locations and the restore runbook. If you stop working with us tomorrow, nothing breaks and nothing is held hostage.
